Illuminate Studios Child Safeguarding Policy

1. Purpose & Commitment
Illuminate Studios is committed to keeping all children and young people safe from harm. We believe every child has a right to be protected from abuse, neglect, and exploitation. This policy sets out our commitment to safeguarding children and the procedures we follow to ensure their safety.
2. Scope
This policy applies to:
- All staff, volunteers, and Activities Supervisors at Illuminate Studios
- All children and youth under 18 years participating in our programs
- All programs, classes, and events we offer
- All locations where Illuminate Studios operates (studio space, beach classes, community events)
3. Our Safeguarding Principles
Illuminate Studios operates on these 5 Guiding Principles:
- Zero-tolerance for child abuse — We will not tolerate any form of abuse, neglect, or harm to children
- Child's best interests first — When dealing with any concern about a child, their safety and well-being are our priority
- Equal protection for all children — We protect all children regardless of age, disability, gender, race, religion, sex, or sexual orientation
- Empower children — We educate children about their rights and personal safety
- Integrate safeguarding into everything — Child safety is part of all our programs, policies, and practices
4. What We Do to Keep Children Safe
A. Staff & Volunteer Requirements
- All staff and volunteers must complete:
- Criminal Records Check (CRC)/Background check
- Child abuse prevention training
- First Aid/CPR certification
- Activities Supervisor certificate (if applicable)
- All staff must sign and follow our Code of Conduct for Staff Working with Children (separate document)
B. Supervision & Safety
- Children are supervised by staff at all times
- Minimum adult-to-child ratio: 1 adult per 6 children for ages 5–12
- Two adults must be present at all times during classes
- No one adult is ever alone with a single child (unless emergency situation)
- Parents/guardians are invited to observe our operations and ask questions
C. Physical Environment
- Studio space is secure and child-safe
- All exits are clearly marked and accessible
- First Aid kit is available and stocked
- Emergency contact information is posted and accessible
D. Photography & Images
- We only take photos of children with parent/guardian written consent
- Photos are stored securely and only used for official purposes (website, social media, promotional materials)
- No individual child photos are shared publicly without explicit permission
- Children are not photographed in uniforms or with identifying information
E. Online Safety
- We do not share personal information about children online
- Social media posts about classes are general (no names, no individual photos without consent)
- Staff do not communicate with children via personal social media accounts
5. Recognizing Abuse — What to Look For
Types of Abuse:
| Type | Signs to Watch For |
|---|---|
| Physical Abuse | Unexplained bruises, burns, fractures; fear of going home; wearing inappropriate clothing to cover injuries |
| Emotional Abuse | Low self-esteem; withdrawal; anxiety; depression; extreme behaviors (too compliant or too aggressive) |
| Sexual Abuse | Age-inappropriate sexual knowledge; sexualized behavior; fear of certain people; difficulty walking/sitting |
| Neglect | Poor hygiene; untreated medical issues; constant hunger; fatigue; inappropriate clothing for weather |
Note: These signs don't automatically mean abuse is happening, but they warrant attention and possible reporting.
6. Responding to Concerns — What to Do
If You Notice a Concern:
- Listen — If a child tells you something, listen carefully without interrupting
- Reassure — Tell the child they've done the right thing by telling you; abuse is never their fault
- Don't promise secrecy — Explain you need to share this with someone who can help
- Record immediately — Write down exactly what the child said (use their words), when, where, and who was present
- Report — Contact your safeguarding lead immediately (see below)
If You Suspect Abuse (but child hasn't told you):
- Document observations — Write down what you noticed, when, and any patterns
- Report to safeguarding lead — Contact Patrick Sullivan or designated child protection officer
- Do not investigate — You are not responsible for proving abuse; let professionals handle it
7. Reporting Concerns — Who to Contact
Within Illuminate Studios:

Outside Agencies (if required):
- Local Child Abuse Hotline: [Your county's hotline number]
- Police/Sheriff: 911 (emergency) or [local non-emergency number]
- California Department of Social Services: (916) 651-6160
- Childline (for children): 1-800-4-A-CHILD (1-800-422-4453)
Important: If you believe a child is in immediate danger, call 911 first.
8. Allegations Against Staff or Volunteers
If an allegation is made against a staff member or volunteer:
- Report immediately to Patrick Sullivan (Owner)
- Do not investigate — Let authorities handle it
- Document everything — Write down what was reported, when, and who was present
- Follow legal requirements — California law requires mandatory reporting of child abuse allegations
- Support the child — Ensure their safety and well-being is priority
9. Complaints About This Policy

10. Policy Review
This policy will be reviewed annually and updated as needed. All staff will be trained on updates.
